Questions from hotels and resorts
How do I order hotel supplies on Suitality?
Create a free trade account, add products to your cart and pay at checkout. Suitality BV receives the payment and the order is split by supplier, each of which delivers from its own warehouse.
Are prices shown with or without VAT?
Trade prices are shown excl. VAT. The product page also shows the pack size and the price per unit.
Is there a minimum order for hotel supplies?
There is no site-wide minimum. Each supplier sets its own, either a minimum order amount in euros per order, a minimum quantity per product, or both, and the product page shows it.
Can I get a quote for a full guest room package?
Yes. Send one quote request with your room count, specifications and quantities, and several suppliers can reply by email with prices, lead time and delivery.
Do you deliver hotel supplies across Europe?
Yes, delivery covers Europe. Each supplier ships from its own warehouse, so one order can arrive in several deliveries.
Can I buy branded or private label hotel amenities?
Custom packaging and branding go through a quote request. Include your logo files, the formats you need and the quantities so suppliers can price them.
How many towels and sheets does a hotel need per room?
Most hotels plan linen in sets per bed: one in the room, one in the laundry and one on the shelf, plus a reserve. Adjust this to your laundry turnaround and occupancy.
Should a hotel switch to amenity dispensers?
EU rules on single-use plastics push many venues towards refills and dispensers. If you switch, buy the dispenser and the matching bulk refill format together.
Where can I see the lead time for a product?
When the supplier gives it, the lead time appears on the product page with carton and pallet data. For large volumes, ask for a confirmed lead time in a quote request.
Can one account buy for several hotels?
Yes. Use one trade account and list quantities and delivery addresses per property in your quote request.
Hotel supplies buying guide
This page is for hotel and resort teams who buy guest room supplies and hotel OS&E: general managers, purchasing managers, executive housekeepers, rooms division managers and owners preparing a refurbishment of rooms and bathrooms. It covers hotels, resorts, aparthotels and serviced apartments, and it brings together the departments a hotel buys from most, from guest room equipment and hotel amenities to hotel bedding and housekeeping equipment.
Products come from independent European suppliers, with trade prices shown excl. VAT and delivery across Europe from each supplier's warehouse. Order standard quantities online and pay at checkout. For volumes, branded amenities, several properties or a full room package, send one quote request to several suppliers and compare the replies by email before you commit. A trade account is free.

Buying hotel supplies from several suppliers in one place
A hotel buys from many trades at once: guest room equipment, bathroom amenities, bedding, linen, housekeeping carts and F&B equipment. On Suitality each of these departments is supplied by independent European suppliers who list their own products, prices and minimums. You keep one trade account and one checkout, and Suitality BV splits the order by supplier behind the scenes.
For standard quantities, add products to the cart and pay at checkout. Trade prices are shown excl. VAT, and each supplier delivers from its own warehouse anywhere in Europe. For larger volumes, branded items or a full room package, use the quote request form and let several suppliers reply with prices, lead times and delivery terms.
Guest room equipment for hotels
The hotel room department groups the equipment a guest uses during a stay. Most items are bought once per room and replaced on a cycle, so it pays to standardise one model per category across the property. That keeps spare parts, housekeeping training and reorders simple.
Hospitality trays, kettles and coffee stations
The welcome tray is the first thing a guest checks. Build it from a hospitality tray, a hotel kettle with an auto shut-off and a concealed element, and cups from the cups and mugs range. Add a coffee storage box to keep sachets and capsules tidy, then stock the contents from coffee and tea.
Check the cable length and the base footprint against the space on the desk or console. Housekeeping will refill the tray every day, so count consumables per occupied room night, then add a margin for guests who use more than one set.
Hair dryers, irons and ironing boards
Hotel hair dryers come as wall-mounted hair dryers, which stay in the bathroom and discourage removal, or as a handheld hair dryer stored in a drawer bag. Check wattage, the hose or cable length, and whether the unit needs a shaver socket or a dedicated wall plate.
For garment care, the iron solutions department covers hotel irons, ironing boards and garment steamers. Wall-hung boards with an iron holder save wardrobe space. Some properties keep irons on request only and place a steamer in suites.
Safes, minibars, clocks and charging
A hotel safe should take a laptop, open with a guest code and have a master override for the front office. Check internal dimensions and fixing points before ordering. For in-room refreshments, compare minibars and coolers on noise level, capacity and door type, since an absorption unit runs quietly in a bedroom.
The electronics range adds bedside clocks and charging solutions with USB ports, which reduce requests for adapters at the front desk.
Luggage racks, hangers, bins and room accessories
Browse room accessories for the small items that complete a room: luggage racks, clothes hangers with anti-theft hooks or open hooks, room bins with separate compartments for recycling, laundry and shoe bags, shoe horns and polishers and door stoppers. Count hangers per wardrobe, not per room, and allow extra for suites and long stays.
Hotel amenities and bathroom supplies
The bathroom department covers fixed equipment, while amenities and personal care covers what the guest uses and takes. Treat them as two budgets: one is bought at opening and replaced on wear, the other is a running cost per room night.
Liquid amenities, bulk refill and dispensers
Many hotels are moving from miniature bottles to wall dispensers and larger formats, partly because EU rules on single-use plastics push venues towards refills. Look at bulk refill amenities together with soap holders and dispensers, and check that the refill format fits the dispenser you choose. Lockable dispensers reduce tampering and theft.
If you keep individual formats, compare hotel shampoos and conditioners, body wash and lotions, hand wash and soap bars on volume per unit, fragrance line and units per carton. Branded or private label amenities are usually quoted rather than bought from stock.
Dry amenities and toiletries
Hotel toiletries include dental kits, shaving kits, sewing kits, shower caps and combs. Many properties hold these at reception or in housekeeping on request, which cuts waste. Tissue boxes and wipes and individually packed refreshing towels work for turndown, the spa and the lobby.
Bathroom accessories, mirrors and slippers
Complete the bathroom with magnifying mirrors, towel and bathrobe hooks, scales, bath mats and other bathroom accessories. Hotel slippers are bought by the pair in cartons, so check sizes and whether the sole is suitable for wet floors.
Hotel bedding and linen
The bedding and linen department is where comfort and laundry cost meet. Choose fills and fabrics that your laundry, in house or outsourced, can wash at the temperatures it uses.
Duvets and pillows
Compare hotel duvets on fill type, weight per square metre, tog or warmth rating and wash temperature. For hotel pillows, many hotels standardise on one medium pillow per guest and offer a pillow menu on request, which keeps reserve stock manageable.
Mattress toppers and protectors
Mattress toppers refresh a bed between mattress replacements. Mattress protectors extend mattress life and simplify hygiene. Order them to the exact mattress size and depth, including any twin or zip and link configurations.
Bath linen and bed sheets
For hotel towels and bath linen and bed sheets, plan par levels in sets per room: one in use, one in the laundry and one on the shelf, plus a reserve for replacements. Check fabric weight, finish and the number of wash cycles the supplier specifies.
Housekeeping equipment and back of house
The housekeeping department covers housekeeping carts and trolleys, linen trolleys and luggage carts, plus hygiene and cleaning products. Size a housekeeping trolley to the number of rooms per attendant per shift and to your lift and corridor widths. For deep cleaning between stays, the disinfection and fogging range and hotel safety equipment are listed separately.
F&B, in-room dining and public areas
Hotels with a restaurant, breakfast room or banqueting space can buy from the F&B services and equipment department in the same account. Cutlery, crockery and kitchen utensils are counted in covers, and buckets and trays cover room service and bar use. Lobby and room furniture, including tables, chairs and decorative fireplaces, sits in furniture and lighting, and premium rooms and suites can draw on the luxury collection.
How to size hotel supply quantities
Separate what you buy once per room from what you consume per room night. For equipment, multiply by room count and add spares: a few percent for small electricals, more for items that walk, such as hangers. For consumables, work from occupancy forecasts and the frequency of replacement set by your brand standard.
- Equipment: room count multiplied by units per room, plus spares for breakage and theft.
- Amenities: units per occupied room night multiplied by forecast room nights for the reorder period.
- Linen: sets per bed according to your par, plus a reserve for losses and rejects.
- Housekeeping: carts per floor or per attendant, depending on how shifts are organised.
Round each quantity to the supplier pack size. A carton of 50 units bought as 60 creates a second carton, which may change the price per unit or the shipping cost.
Reading a product page before you order
Each product page shows the pack size in units per pack, the price per unit and the minimum order. When the supplier gives it, you also see the lead time and carton and pallet data. Use these figures to plan storage and receiving, because a pallet of duvets or pillows takes real space in a linen room.
Each supplier sets its own minimum. It can be a minimum order amount in euros per order, a minimum quantity per product in units, packs or cartons, or both. There is no site-wide minimum, so a small top-up order can work with one supplier while another needs a larger basket.
What to put in a hotel supplies quote request
A quote request suits volumes, several properties, custom packaging or branding, full room packages and heavy or bulky items. One request can go to several suppliers, and each replies by email with prices, lead time and delivery. The more precise the request, the easier the replies are to compare.
- Property type, room count and delivery address or addresses.
- Product references or a clear specification: size, colour, material, power, fill.
- Quantities per item and per delivery, and whether deliveries can be split.
- Branding needs: logo files, packaging, label language.
- Required delivery date and any receiving constraints such as dock hours or no pallet access.
Send it through the request for quote page. Answers to common questions about accounts, payment and delivery are in the Suitality FAQ.
Supplying several hotels or a hotel group
Groups and management companies can use one trade account to buy for several properties, with a shared standard and different delivery addresses. Send one quote request covering all sites, list quantities per property, and ask suppliers to confirm whether they deliver to each address separately. For other sectors you supply, such as restaurants, spas or yachts, see all venues. Manufacturers who want to sell to hotels can become a supplier.
